The Perfect Candidate: 

  • 2+ years of experience working with in an office environment with exceptional client service skills.
  • Work efficiently and are able to manage a diverse task list without breaking your stride.
  • Anticipate client needs and respond proactively and you take pride and ownership in all of your task to foster strong relationships with clients and colleagues alike.
  • Communicates professionally on the phone, in person and in writing.
  • Understands how to anticipate client needs and respond accordingly.
  • Has good knowledge of Microsoft Office 365.
  • Has an affinity for numbers and is able to learn basic accounting tasks.
  • Ability to work independently and takes full ownership of assigned tasks;
  • Demonstrates attention to detail and accuracy.
  • Possesses excellent organizational skills.
  • Works well with others at all levels of the organization.
  • Is able to receive feedback and have constructive and respectful performance discussions.
  • Able to lift up to 30lbs.

Responsibilities Include: 

  • Greet clients in a professional manner and answer questions efficiently.
  • Answer all incoming phone calls within 2 rings; screens and forwards incoming phone calls and efficiently provide basic information when needed;
  • Assist with the intake process for some practice areas and gather pertinent client information to forward on to assistant/associate.
  • Maintain and respond to all client communication via email within 24 hours of email receipt.
  • Follow (and take initiative to suggest new) procedures to ensure a smooth flow of information from clients to lawyers/paralegals and vice versa.
  • Process cheque deposits via remote scanner as required.
  • Ensures documents required for client meetings are available ahead of meeting time.
  • Book notarial appointments for lawyers and update calendar with appointment information.
  • Process and post client payments to appropriate accounting system.
  • Process retainer and trust payments as required.
  • Coordinate inter-office mail and arrange courier pick-ups.
  • Coordinate firm phone system; assist with call forwarding and troubleshooting as needed for associates and staff.
  • Assists Accounting Manager with Accounts Receivable follow ups, closing file process.
  • Process all expense recoveries including, but not limited to Court Services Online and Courier expenses.
  • Retrieves files from Iron Mountain as requested.
  • Make small updates to the firm website as directed by the Director of Operations & HR.
  • Work with Director of Operations & HR to maintain firm library.
